Choosing each tool for what it does well — and using Integrately to keep them synced — was the more cost-effective architecture, without sacrificing having one unified system.
Why the data model matters more than the tool
Before any tool selection, the real work was discovery: understanding how guest communication and bookings actually flowed across the 28 properties. Zoho CRM's default modules and fields are a starting point, not an implementation. A CRM configured around a generic template will always feel like it's fighting the business instead of supporting it.
The result of doing this properly: a single system spanning all 28 properties instead of 28 separate, inconsistent processes. Guest communication and CRM data can be viewed and managed centrally rather than property by property. That's the actual deliverable — not "Zoho CRM installed," but "one coherent view of the business that didn't exist before."
What this doesn't include
Worth being direct about scope here: this kind of engagement doesn't automatically come with measured performance metrics like response time or guest satisfaction scores unless those are tracked from day one as part of the project. The cost-saving from a hybrid stack versus an all-Zoho-suite build is a real, deliberate design decision — but without a specific baseline to compare against, it's more honest to describe it as the rationale behind the architecture than as a measured percentage.
